This Applicant Privacy Notice explains how EnSafe, Inc. collects, uses, retains, and protects personal information from job applicants. It applies to all individuals who apply for positions with EnSafe through our careers site, job boards, recruiting events, or other channels.
EnSafe respects your privacy and is committed to handling your personal information responsibly and in compliance with applicable federal and state privacy laws, including the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), the Colorado Privacy Act (CPA), and other applicable regulations.
2. Personal Information We Collect
During the application and hiring process, EnSafe may collect the following categories of personal information:
Information You Provide
- Identifiers: Name, email address, phone number, mailing address.
- Professional Information: Resume, cover letter, work history, education, certifications, professional licenses, and references.
- Application Responses: Answers to screening questions, availability, salary expectations, and other information submitted through the application.
- Voluntary Self-Identification Data: Race, ethnicity, gender, veteran status, and disability status collected for EEO and OFCCP reporting purposes. This information is kept separate from your application and is not used in hiring decisions.
Information Collected During the Process
- Interview Records: Notes, evaluations, and feedback from interviews.
- Communication Records: Emails, text messages, and other correspondence related to your application.
- Background Check Information: Criminal history, employment verification, education verification, and other screening results obtained through our background screening vendors with your prior written consent. See our Background Check Disclosure for details.
Information Collected Automatically
- Usage Data: IP address, browser type, and interaction with our careers site, collected through standard web technologies.
3. How We Use Your Information
EnSafe uses applicant personal information for the following purposes:
- Evaluate your qualifications and suitability for the position you applied for.
- Communicate with you about your application status, schedule interviews, and coordinate next steps.
- Conduct background checks with your written consent, as described in our Background Check Disclosure.
- Comply with legal obligations, including EEO reporting, OFCCP recordkeeping, and federal/state hiring regulations.
- Consider you for future openings if you are not selected for the position you applied for, unless you request otherwise.
- Improve our hiring process through aggregated, anonymized analytics.
EnSafe does not sell or share your personal information with third parties for their own marketing purposes.
4. How Long We Keep Your Information
EnSafe retains applicant data for the periods described below. Retention periods are based on the type of data, legal requirements, and legitimate business needs. When the retention period expires, your data is securely deleted or anonymized unless a legal hold or other obligation requires extended retention.

If you are hired, your applicant data becomes part of your employee record and is subject to EnSafe’s employee data retention policies.
5. Who Receives Your Information
Your personal information may be shared with the following parties in connection with the hiring process:
- Service providers — Including our applicant tracking system, candidate communication platform, and background screening vendors, each of which processes data on EnSafe’s behalf to support the hiring process.
- EnSafe hiring team members — Hiring managers and interviewers involved in evaluating your candidacy.
- Government agencies — When required by law, such as EEO reporting or in response to lawful requests.
All third-party service providers are contractually required to protect your information and use it only for the purposes described in this notice.
6. Your Privacy Rights
Depending on your state of residence, you may have some or all of the following rights regarding your personal information:
- Right to Know. You may request that EnSafe disclose the categories and specific pieces of personal information we have collected about you, the sources of that information, the purposes for collecting it, and the categories of third parties with whom we share it.
- Right to Delete. You may request that we delete your personal information. We will honor your request unless the information is required to be retained for legal compliance, to complete a transaction, or for other purposes permitted by law.
- Right to Correct. You may request that we correct inaccurate personal information we maintain about you.
- Right to Opt Out. EnSafe does not sell your personal information. If this changes, you will be notified and given the opportunity to opt out.
- Right to Non-Discrimination. EnSafe will not discriminate against you for exercising any of these privacy rights.

We will verify your identity before processing your request. You may also designate an authorized agent to submit a request on your behalf. We will respond to verified requests within 45 days, or notify you if we need additional time (up to 90 days total).
Talent Pool Opt-Out
If you were not selected for a position, EnSafe may retain your application in our talent pool to consider you for future openings. If you prefer that we not retain your information for this purpose, you may request removal from the talent pool at any time by contacting Human Resources. Your information will be deleted unless we are legally required to retain it.
7. How We Protect Your Information
EnSafe maintains administrative, technical, and physical safeguards designed to protect applicant personal information from unauthorized access, disclosure, alteration, and destruction. Our security measures include access controls limiting who can view applicant data, encryption of data in transit, and secure storage within our applicant tracking and screening systems.
8. Changes to This Notice
EnSafe may update this Applicant Privacy Notice from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The effective date at the top of this notice indicates when it was last updated. We encourage you to review this notice periodically.
