Joining a Microsoft Teams Meeting (EnSafe)

Purpose

These instructions explain how EnSafers and external partners can join a Microsoft Teams meeting securely and effectively, whether from a computer, mobile device, or phone call.

  1. Open the Meeting Invite
    • Look for an email or calendar event titled “Microsoft Teams Meeting.”
    • You’ll see a link that says “Click here to join the meeting.”
  2. Click the Join Link
    • This opens a new browser tab.
    • Choose “Open Microsoft Teams” if you already have the Teams app installed.
    • If not, select “Continue on this browser” to join from Edge, Chrome, or Safari (no download required).
  3. Sign In or Join as a Guest
    • EnSafers: Sign in using your EnSafe Microsoft 365 credentials ([email protected]).
    • External Participants: Choose “Join as a guest” and enter your name when prompted.
  4. Check Audio and Video Settings
    • Choose the correct microphone, speakers, and camera.
    • Mute your mic before entering if joining a large meeting.
    • Use the “Test call” option to confirm everything works.
  5. Join the Meeting
    • Click “Join now.”
    • If the organizer has a lobby enabled, wait to be admitted.

Joining from the Microsoft Teams App (Mobile or Desktop)

  1. Open the Teams App
    • Sign in with your EnSafe account if prompted.
  2. Go to Calendar and find the meeting.
    • Tap or click the meeting entry.
  3. Tap “Join” to enter.
    • Confirm audio/video preferences before joining.

Joining by Phone (Audio Only)

If the invite includes a phone number and Conference ID, you can dial in directly:

  • Dial the number listed (e.g., +1 469-555-XXXX).
  • Enter the Conference ID when prompted, followed by #.

This option is useful when internet access is limited.

Tips for a Smooth Meeting

  • Use a headset to reduce background noise.
  • Mute when not speaking.
  • Close unnecessary apps to improve performance.
  • If prompted for MFA (Multi-Factor Authentication): approve the sign-in from your mobile device as usual.
  • For EnSafers: Ensure you’re signed in to Teams using your EnSafe Microsoft 365 account, not a personal one.
