1. Overview
EnSafe, Inc. (“EnSafe”) is committed to a fair, transparent, and non-discriminatory hiring process. As part of our recruitment operations, EnSafe uses technology tools that incorporate artificial intelligence (“AI”) to assist with certain aspects of the hiring process. This notice explains how AI is used, what decisions it may influence, and your rights as an applicant. This notice applies to all applicants for employment with EnSafe, regardless of location. It supplements EnSafe’s Applicant Privacy Notice and Equal Employment Opportunity Notice, which are available on our careers site.
2. How EnSafe Uses AI in Hiring
EnSafe’s applicant tracking system includes AI-powered features that may be used during the recruitment process. These features currently include:
- Candidate screening and qualification matching based on information you provide in your application.
- Interview scheduling and coordination through automated messaging.
- Candidate communications, including status updates and follow-up messages.
These tools generate outputs such as candidate rankings, match scores, or recommended actions that may influence which applicants advance in our hiring process. The AI system processes inputs you provide — such as your resume, application responses, and qualifications — to produce these outputs.
EnSafe does not use AI for the following purposes: facial recognition analysis, video interview behavioral analysis, social media monitoring or scoring, personality or psychometric profiling, or predictive modeling of employee tenure or attrition.
3. Human Oversight
AI tools assist EnSafe’s recruitment process but do not make final hiring decisions. All decisions regarding whether to extend an interview, offer, or employment are made by EnSafe’s hiring managers and recruitment personnel. AI outputs are one input among several that inform these decisions.
EnSafe reviews AI-assisted recommendations before acting on them. No applicant is automatically rejected solely based on an AI-generated score or classification without human review.
4. Non-Discrimination Commitment
EnSafe prohibits the use of AI in any manner that has the effect of discriminating against applicants or employees based on race, color, religion, sex (including pregnancy, sexual orientation, and gender identity), national origin, age, disability, genetic information, veteran status, or any other characteristic protected by federal, state, or local law. EnSafe evaluates AI tools used in hiring to identify and mitigate risks of algorithmic discrimination. This includes reviewing vendor-provided documentation about system design, data inputs, and testing procedures. EnSafe does not use zip codes or geographic proxies as a basis for employment decisions in a manner that would result in discrimination on the basis of protected characteristics.
5. Your Rights
As an applicant, you have the following rights regarding EnSafe’s use of AI in the hiring process:
- Right to Notice: You are entitled to know when AI is being used to evaluate your candidacy. This notice fulfills that requirement.
- Right to Request Human Review: If you believe an AI-assisted recommendation has adversely affected your candidacy, you may request that a qualified EnSafe representative review the decision. Contact our Human Resources department using the information below.
- Right to Correct Information: If you believe that incorrect personal information was processed by an AI system during your application, you may request a correction by contacting Human Resources.
- Right to Alternative Process: If you prefer not to be evaluated using AI-assisted tools, you may request an alternative application process. EnSafe will make reasonable efforts to accommodate such requests. Contact Human Resources to discuss available options.
- Right to Be Free from Retaliation: EnSafe will not retaliate against any applicant for exercising their rights under this notice, including requesting human review, corrections, or an alternative process.
6. Data Handling
Information processed by AI tools during the hiring process is subject to the same privacy protections described in EnSafe’s Applicant Privacy Notice. AI-processed data is not sold or shared with unrelated third parties for purposes beyond recruitment.
EnSafe retains records related to AI use in hiring decisions, including notices, disclosures, and records of AI-assisted outputs, for a minimum of four (4) years in accordance with applicable recordkeeping requirements.
7. Changes to This Notice
EnSafe will update this notice when we deploy substantially new AI tools in the hiring process or when changes in law require updated disclosures. Material changes will be posted to this page with an updated effective date.
